We process your data in accordance with the General Data Protection Regulation (GDPR – Regulation (EU) 2016/679) and Portuguese law.
2. What data we collect and why
Bookings and stays — name, contact details, dates, number of guests, payment details and, as required by law, guest identification details (ID document, nationality, date of birth). Purpose: managing the booking, the stay and invoicing, and complying with the legal obligation to register guests. Legal basis: performance of the contract and legal obligation.
Contact requests and property valuations (owners) — name, phone, email, location and type of property and the message you send us. Purpose: replying to your request. Legal basis: your request (pre-contractual steps) and consent.
Coupon reports — your message and, if you provide it, your email. Purpose: solving the problem with the partner and replying to you. Legal basis: legitimate interest.
Browsing — the server records technical data (IP address, browser, pages visited) for security and operational reasons. Legal basis: legitimate interest.
We do not sell your data or use it for automated decision-making.
3. Who we share it with
Only with those we need to provide the service, all of whom are required to protect your data:
- Beds24 — booking and availability system;
- Stripe — card payment processing;
- AcoresPRO — website hosting and maintenance;
- The platform where the booking was made (for example, Booking.com or Airbnb), where applicable;
- Public authorities, when required by law (for example, registration of foreign guests with the competent authorities and the Tax Authority).
Some of these providers may process data outside the European Economic Area, always with the safeguards required by the GDPR (for example, standard contractual clauses).
4. How long we keep it
- Booking and invoicing data: 10 years, for tax reasons;
- Guest registration: the period set by law;
- Contact and owner requests: up to 2 years after the last contact, if no contract follows;
- Server technical logs: up to 12 months.
5. Your rights
You may request access to, correction, deletion, restriction or portability of your data, object to its processing and withdraw your consent at any time by writing to info@azoresbeds.com. We reply within one month at the latest.
You also have the right to lodge a complaint with the Portuguese Data Protection Authority (www.cnpd.pt).
6. Cookies
We use technical cookies that are needed for the website to work (for example, cache and your cookie choice). These do not require consent.
Only with your consent, we also use:
- Statistics — Google Analytics (Google Ireland Limited), to see which pages are most visited and improve the website. Data is aggregated and the IP address is not stored by Google Analytics 4.
- Marketing — Google and Meta (Facebook/Instagram) cookies to measure and show more useful ads.
When you first visit the site, you can accept, decline or choose. You can change your choice at any time using the “Cookies” link at the bottom of every page. If you decline, the site still works.
The calendar and prices are obtained from Beds24 by our server; when you proceed to book, you move to the Beds24 site, which has its own privacy policy.
7. Security
The website uses an encrypted connection (HTTPS) and data is stored on protected servers, with access restricted to those who need it for their work.
8. Minors
Bookings must be made by people aged 18 or over. Data of minors travelling with their family is processed only to comply with the legal guest registration.
9. Changes
We may update this policy. The date of the last update is shown at the top of this page.
